Over the years, we’ve worked with hundreds of small and medium businesses across Newcastle, Lake Macquarie, and the Hunter. While every business is unique, many of the same IT questions recur frequently—especially as systems become more complex and security threats become increasingly challenging to identify.
We thought it was time to pull together a no-nonsense Q&A based on real conversations we have every week. Whether you’re a business owner, office manager, or just the one who “sorts out the tech stuff,” here are 10 IT questions we get asked all the time—answered in plain English.
1. “Do I need managed IT services?”
If you’re relying on someone in-house to fix problems as they happen (or worse—just hoping things keep working), you’re taking a risk. Managed IT means having a professional team monitor, maintain, and protect your systems before issues arise. It also means you’re not wasting time on DIY fixes.
2. “Is our business too small for cybersecurity?”
Not at all. Small businesses are often more at risk because attackers know they’re less likely to have proper defences. We’ve seen phishing emails, ransomware, and invoice fraud targeting local businesses with fewer than 10 staff members. If you use email and store client info, you’re a target.
3. “What’s the difference between backup and disaster recovery?”
Backups copy your data. Disaster recovery gets you back up and running fast after something goes wrong—whether it’s a cyberattack, server failure, or flood. A good plan has both.
4. “We use Microsoft 365—does that mean our files are backed up?”
Not automatically. Microsoft offers redundancy, but if someone accidentally deletes a file or leaves the business and their account is terminated, you may not be able to recover that data. We always recommend third-party backups for peace of mind.
5. “Why is our internet so slow?”
It could be anything from poor-quality hardware to outdated cabling—or even a rogue staff member streaming high-def video during work hours. We’ll check the network from top to bottom and resolve the issue.
6. “What’s multi-factor authentication, and do we need it?”
It’s one of the most straightforward, most effective security steps you can take. It means users need a second form of identification (such as a text code or app confirmation) to log in. It protects you if someone gains access to a password.
7. “Should our staff be using their own devices?”
It depends on your setup. If they are, those devices should still meet security standards—like having updated antivirus, encrypted storage, and secure access to company systems. We can help with policies that strike a balance between flexibility and protection.
8. “How do we know if our IT provider is doing a good job?”
You should be seeing fewer problems, not more. Good providers don’t just fix issues—they prevent them, communicate clearly, and explain things in a way that’s easy to understand, without using jargon. If you’re constantly firefighting, it might be time for a change.
9. “How often should we be updating our software and systems?”
As soon as updates become available, especially security patches. Delaying updates is one of the easiest ways to fall prey to known vulnerabilities. We can automate this process across your devices to ensure it doesn’t fall through the cracks.
10. “We’re moving offices—what should we do about IT?”
Please don’t leave it to the last minute. Network cabling, internet setup, server relocation, and even printer configurations can become a nightmare if not planned properly. Call us early—we’ll walk you through the move step by step.
